Job Description: Sales Support Executive

The Sales Support Executive is responsible for providing proactive support to the sales team and customers by handling enquiries, preparing quotations, coordinating internally with key departments, and ensuring a smooth end-to-end sales process. This role plays an essential part in maintaining customer satisfaction and supporting the company’s overall sales performance.

Key Responsibilities

1. Customer & Sales Support

  • Proactively attend to customer enquiries through phone, email, and other communication platforms.

  • Prepare accurate and timely quotations based on customer needs and company guidelines.

  • Follow up closely on all submitted quotations to help secure orders and support sales targets.

  • Provide clear and professional communication to customers on product availability, lead time, pricing, and technical information (when required).

2. Internal Coordination

  • Work closely with the Sales, Service, Production, and Purchasing departments to ensure proper flow of information and fulfilment of customer requirements.

  • Coordinate with Purchasing to confirm material availability, cost, and lead time before quotation submission.

  • Liaise with Production and Service teams to ensure job schedules, timelines, and customer expectations are aligned.

  • Support Sales team by preparing documents, proposals, and any necessary follow-up materials.

3. Documentation & Reporting

  • Maintain proper records of enquiries, quotations, orders, and follow-up activities.

  • Update CRM, tracking sheets, or internal systems accurately and promptly.

  • Prepare weekly and monthly reports on quotation status, conversion rates, and sales support activities.


Requirements

  • Minimum Diploma in Business Administration, Sales/Marketing, Engineering, or related fields.

  • Prior experience in sales coordination, customer service, or administrative support is an added advantage.

  • Strong communication skills, both written and verbal.

  • Good organizational skills with attention to detail.

  • Ability to multitask, prioritize, and work under minimal supervision.

  • Proficiency in Microsoft Office (Excel, Word, Outlook).

  • Positive attitude, proactive, and customer-oriented mindset.
